A returns portal is only one part of a return. Your team also needs to decide eligibility, reserve exchange stock, receive goods and reconcile the final outcome. Use this shortlist to choose a workflow that matches your products and return policy.

Start with the return policy

Write down return windows, final-sale exclusions, damaged-item handling, exchanges and store-credit rules. Ask each provider to configure those exact cases. A polished portal is not enough if your staff must manually correct eligibility or route every exception.

Separate software from logistics

An app subscription may not include labels, cross-border duties, warehouse inspection, restocking or replacement shipping. Ask who pays each cost and when it is incurred. Confirm whether a carrier scan triggers a refund or whether your warehouse must first accept the item.

Model cost per resolved return

Add the monthly platform fee, usage charges, label costs and staff time. Divide that total by resolved returns, not just requests opened. In an illustrative month, $150 in software, $600 in labels and $250 in handling across 100 resolved returns equals $10 per return. These are example inputs, not vendor prices.

Test exceptions before launch

Walk through a mixed order with one kept item, a damaged item, an out-of-stock exchange and a return outside the policy window. Check how taxes, discounts and shipping are represented. Ensure the customer and warehouse see a consistent status, and verify that an agent can explain the outcome.

Questions to take to a demo

Common questions

Does returns software handle physical fulfillment?

Do not assume it does. Software can coordinate requests, but receiving, inspection and replacement shipping need an agreed operating process.

Should every return become an exchange?

No. Offer exchanges where they fit the customer’s needs and your policy. Measure customer satisfaction and contribution, not retained revenue alone.
